Terms & clinic use
Clear rules for running CapDent in a clinic.
These terms cover authorized access, clinical responsibility, subscriptions, payment records, acceptable use and account deletion for CapDent users.
1. Purpose of CapDent
CapDent is a clinic management tool for dental practices. It supports patient registration, appointments, visits, dental charting, treatment plans, prescriptions, clinical uploads, payments, reminders, staff workflows and clinic administration.
2. Authorized clinic use
Only authorized clinic users may access a clinic workspace. Users must keep login credentials private, use the role assigned to them and must not attempt to access another clinic's data or bypass access controls.
Clinic owners and authorized staff are responsible for the accuracy and lawful use of information they enter into CapDent.
3. Clinical responsibility
CapDent does not provide medical advice, diagnosis or treatment. All clinical decisions, interpretations, prescriptions and treatment choices remain the responsibility of qualified dental professionals.
4. Patient and clinic information
CapDent may store patient records, health information, dental chart entries, prescriptions, X-rays, photographs, treatment details, payment records and follow-up information for legitimate clinic use. Clinics must use this information responsibly and in accordance with applicable professional and privacy obligations.
5. Plans, limits and subscriptions
CapDent may offer free and paid plans with different patient, upload, storage, dashboard or feature entitlements. Current plan details are shown in the app or on the CapDent website.
Android subscriptions purchased through Google Play are also subject to Google Play's billing terms. A paid entitlement may be suspended, expire or enter a grace/account-hold state when the associated billing status changes.
6. Clinic and online payments
CapDent's invoice and payment features are clinic workflow and record-keeping tools. Where online payment functionality is available, the clinic remains responsible for configuring its receiving account correctly, verifying settlement information and complying with applicable accounting, tax and payment-provider obligations.
7. Acceptable use
Users must not misuse CapDent, attempt unauthorized access, interfere with the service, upload unlawful or malicious content, share accounts inappropriately, falsify records or use the platform in violation of applicable law or professional obligations.
8. Availability and changes
CapDent may update, improve, suspend or discontinue features as the product evolves. Some capabilities described as planned, preview or experimental may not be available to every clinic or plan.
CapDent may update these Terms. When a material terms version changes, the app may require users to review and accept the new Terms and Privacy Policy before continuing.
9. Account and data deletion
Users can delete their account and applicable data through Legal & Account → Delete Account & Data in the Android app. Users who no longer have app access can use the public Delete Account page. Some records may need to be retained where required for legal, professional, billing, dispute-resolution, fraud-prevention or security reasons.

Effective date: 29 August 2026. By continuing to use CapDent after accepting the current Terms and Privacy Policy, the authorized clinic user agrees to use CapDent in accordance with these terms.
