Your clinic data deserves clear boundaries.

This policy explains what CapDent processes, why it is used, how analytics are handled and how users can delete their account and applicable data.

1. What CapDent is

CapDent is a dental clinic management platform used by authorized clinic staff to manage patients, appointments, visits, dental records, treatments, prescriptions, clinical files, payments, reminders, staff access and clinic operations. CapDent is a record-keeping and workflow product; it does not replace the clinical judgment of a qualified dental professional.

2. Information processed

Depending on how a clinic uses CapDent, the service may process:

  • Account and staff information such as name, email, user ID, role and clinic association.
  • Patient information such as name, age, gender, phone number, address and emergency contact details.
  • Dental and health records such as medical history, complaints, visits, dental chart entries, treatment plans, prescriptions and follow-up information.
  • Clinical files such as patient photographs, prescription images, X-rays, reports and uploaded documents.
  • Clinic financial records such as consultation fees, treatment charges, amounts paid, pending dues, invoice records and payment history.
  • Operational activity needed for clinic workflows, security, support and account management.

3. How information is used

CapDent processes information to provide clinic functionality, maintain authenticated access, synchronize clinic records, support billing and subscriptions, deliver clinic notifications, prevent misuse, troubleshoot the service, answer support requests and maintain security.

CapDent does not sell patient or clinic data and does not use patient clinical records for advertising.

4. Analytics

Eligible CapDent Play Internal and Production builds use Firebase Analytics to understand coarse product usage and reliability, such as screen usage, login outcome categories, plan views, quota states and feature-health events.

CapDent's analytics implementation is designed not to deliberately send patient names, patient phone numbers, diagnosis or treatment notes, raw clinic identifiers, purchase tokens, payment/order identifiers or uploaded clinical content.

Advertising storage, advertising user data and ad-personalization consent are disabled in the CapDent analytics configuration, and the Android app blocks the Google Advertising ID permission.

5. Service providers

CapDent relies on infrastructure and platform providers to operate the service. This may include cloud database, storage and authentication providers, Firebase Analytics for approved product analytics, Google Play for Android distribution and subscription billing, and email or notification infrastructure. These providers process information only as needed to provide their services and are subject to their own terms and privacy obligations.

6. Security and access

CapDent uses authenticated clinic access and secure network connections. Clinics are responsible for giving access only to authorized staff, keeping credentials private, choosing appropriate staff roles and using patient information only for legitimate clinic care and administration.

7. Retention and deletion

Users can delete their CapDent account and applicable data through Legal & Account → Delete Account & Data in the Android app. Users who no longer have app access can use the public Delete Account page.

Some clinic, patient, billing, security or legal records may need to be retained where required by applicable law, professional obligations, dispute resolution, fraud prevention, security or legitimate record-keeping requirements. Where retention is required, only the information necessary for that obligation should be retained for the applicable period.

8. Clinic responsibilities

The clinic controls which patient information its authorized staff enter into CapDent. Clinic owners and users are responsible for obtaining any patient permissions or notices required for their use of patient information and for complying with applicable professional and privacy obligations.

9. Changes to this policy

CapDent may update this policy when the product, service providers or legal requirements change. When a material policy version changes, CapDent may require users to review and accept the updated Terms and Privacy Policy before continuing to the clinic workspace.
