How to use CapDent in your dental clinic

CapDent works best when every visit follows the same path: find the patient, manage the visit, record treatment, collect payment and set the next action.

01Create the clinic

Install CapDent from Google Play and create the first account as the clinic owner. Use an email address controlled by the clinic. Create one clinic workspace for the whole team.

02Add staff with the right role

• Owner: clinic overview, reports, staff and settings.
• Doctor: patient history, treatment, sittings and clinical files.
• Receptionist: registration, appointments, queue actions and collections.

Each person should use an individual login and join the existing clinic workspace.

03Search before adding a patient

Search by name or phone number first. This prevents duplicate profiles. For a new patient, add the basic details, relevant medical history and reason for visit.

04Manage appointments and the waiting queue

Appointments show who is expected. The waiting queue shows who is present now. Add walk-ins to the same workflow and keep only useful actions such as waiting, reschedule and complete.

05Record treatment progress

Create the treatment from the patient profile. For multi-sitting work, update the same treatment after each visit. Record what was completed, what remains and the next sitting.

06Record payments against the treatment

Enter the treatment value and every collection. Later payments should reduce the balance of the existing treatment. Record the payment method for daily review.

07Set the next action

Before the patient leaves, schedule the next sitting, add a follow-up date or mark the treatment complete. Ongoing treatment and pending payment should remain separate statuses.

Attach clinical files

Add X-rays, prescriptions, reports and treatment photos to the correct patient profile. Avoid duplicate or unnecessarily large uploads. Each clinic begins with 1 GB of cloud storage.
