When the reception desk is organised, the doctor can concentrate on treatment. When it is not, every missing detail reaches the doctor as an interruption.

Before the clinic opens

Review today’s appointments, patients due for follow-up and any planned procedures requiring preparation. Confirm which doctor is available and identify cases that may need extra time.

  • Check yesterday’s unresolved payments or reschedules.

At patient arrival

Search before creating a new patient. Duplicate profiles split history, files and payments across two records.

For an existing patient, confirm the phone number and reason for visit. For a new patient, record the minimum profile and relevant medical history before moving them into the queue.

Keep one shared waiting queue

The receptionist should be able to mark only what is operationally useful: waiting, ready for doctor, completed or rescheduled. Too many status buttons create confusion.

The live queue should answer three questions for everyone:

  • Who is physically in the clinic?
  • Who should be called next?
  • Who still needs payment, follow-up or rescheduling before leaving?

Record payments while the patient is present

Reception should record the amount received, payment method and the treatment or visit it belongs to. An ongoing treatment payment should reduce the existing balance rather than create a duplicate treatment or invoice.

Where clinic policy requires owner review, corrections should remain visible for verification rather than silently replacing the original entry.

End every visit with a next action

Before the patient leaves, confirm whether the treatment is complete. When it is ongoing, schedule the next sitting or record a follow-up date. When it is complete, mark it clearly so it does not continue appearing as pending work.

Simple rule

Follow-up means the clinical work continues. No follow-up should normally mean the visit or treatment is complete, unless the doctor has documented another reason.

Five-minute closing review

At the end of the day, reception and the owner should review completed visits, remaining waiting patients, reschedules, collections, pending balances and tomorrow’s appointments.
